MINUTES OF THE ASHFIELD YOUTH COMMITTEE OF ASHFIELD COUNCIL, HELD ON LEVEL 6, CIVIC CENTRE, 260 LIVERPOOL ROAD, ASHFIELD ON MONDAY 16 SEPTEMBER 2013, COMMENCING AT 5:08 PM.

COUNCIL NEWS

Councillor Lofts will put forward a motion to Council to acknowledge that Liliana Tai has been selected to represent Australia in the 2014 The Hague International Model United Nations (THIMUN).  The motion will request Council to contribute financially to her travel expenses.

 

Councillor Lofts reported that Councillor Adriano Raiola was interested in attending a future Youth Committee meeting.

 

 ACTION: Councillor Lofts to invite Councillor Raiola to attend a future meeting.

 

Due to other commitments, Johnny was unable to draft a thank you letter to Anthony Albanese MP.

 

ACTION: Johnny to draft letter before next meeting.

 

FILM FESTIVAL

The Committee debated whether or not to continue with planning for the film festival.  The Committee concluded that they will instead run a Youth Dance Party at Ashfield Youth Centre in November 2013, and plan to deliver the film festival in May/June in 2014.

 

The specifications for the Youth Dance Party are:

 

Location:            Ashfield Youth Centre

Date:                   Saturday 16 November 2013

Time:                   6pm – 10pm

Bag checks - No drugs or alcohol – must bring proof of age (student card)

 

Features a DJ, lighting, pizza, juice, lollies, water.

 

Bookings are essential and can be made via text, online booking or phone.

 

Security:                      Two security guards will be present.  Council to notify Ashfield Police.  Everyone gets a wrist band.

 

Promotion:         Promotion through the Youth Committee Facebook Page, Youth Drop-in flyer, local high schools, banner out front of Town Hall.

 

Others:                         Use the rear office as a bag check in; use raffle tickets.

 

Make glowsticks available, fairy lights to decorate outside area.

 

Staff:                   Cloak room, ushering/welcome, food (2), walk around pick up rubbish.

 

ACTION:            Camille to create a draft flyer and email to Committee.

ACTION:            Once approved, Camille to promote on Facebook through Facebook event.

ACTION:            Yatha to get two quotes for DJ.

ACTION:            Johnny to get two quotes for security guards, 5.30pm – 10.30pm (5 hours).

ACTION:            Johnny to investigate lighting.

ACTION:            Antoinette to draft a list of food required for the event, and include costing.

ACTION:            Liliana to plan how to decorate the event.

ACTION:            Camille to email everyone on their task.

 

The Committee was undecided on a theme for the Dance party but “In the Wild” was the most popular.

 

 

YOUTH WEEK

(See above) The Committee agreed to run the Film Festival in May/June rather than during Youth Week 2014, as listed in previous minutes, due to a busy workload for the Committee and staff in March/April because of Carnival of Cultures and Youth Week.

 

 

GENERAL BUSINESS

 

·         Meetings are now held on the third Monday of each month, 5pm – 6.30pm.  We will no longer have regular sub-committee meetings, but the Committee can request a sub-committee meeting to assist with planning an event, or otherwise.

 

·         Richard and Simone can help volunteer at Warm Bodies on Friday 18 October at 5.30pm at Ashfield Youth Centre.

 

·         Camille to book Yatha and Liliana into the School Holiday workshop on Candle Making.

 

 

NEXT MEETING

The next sub-committee meeting will be held at Ashfield Youth Centre on Tuesday 01 October at 10.00am.

 

ACTION:   Camille to email Committee members about next meeting.
